The Return-To-Work Facilitator plays a critical role in supporting the Workers' Compensation medical management process by coordinating and facilitating return-to-work initiatives for injured employees. This position works closely with RN Case Managers, medical providers, employers, and other stakeholders to obtain work status documentation (including DWC25 forms), communicate job requirements, and identify modified or permanent work solutions as medically appropriate.
The RTW Facilitator also serves as backup support for claims intake functions, ensuring accurate and timely data entry while following all client, company, and State of Florida contractual protocols.
Key Responsibilities
- Coordinate returntowork efforts within a Workers' Compensation environment under the direction of the RN Case Manager.
- Focus on timely receipt of DWC25 forms and other medical documentation to support safe and appropriate returntowork outcomes.
- Communicate injured employee job requirements and physical demands to treating medical providers.
- Utilize available vocational tools to assist with returntowork planning.
- Identify potential barriers or issues related to disability status and escalate to the RN Case Manager as needed.
- Schedule medical appointments when required.
- Obtain medical records and work status documentation.
- Request and collect job descriptions from employers or clients.
- Handle correspondence, letters, and mail on behalf of the RN Case Manager.
- Document all activities, notes, and updates accurately within the claims management system.
- Maintain assigned diaries and ensure tasks are completed timely and in accordance with performance standards.
- Create, edit, revise, scan, copy, and organize documentation as needed.
- Serve as backup for Workers' Compensation intake calls, adhering to required timeframes and performance standards.
- Gather and evaluate information from injured workers and employers to determine injury level and category using established criteria.
- Enter First Report of Injury (FROI) data accurately into the system.
- Follow State of Florida phonetree procedures, including emergency protocols.
- Route intake calls to the appropriate triage unit member for further handling.
Skills, knowledge & expertise - High school diploma or equivalent.
- Minimum of one (1) year of experience in a medical office or medical terminologyfocused role.
- Bilingual (English/Spanish) preferred.
- Working knowledge of the Florida Workers' Compensation system and applicable statutes.
- Strong understanding of medical terminology.
- Experience interacting with medical provider offices.
- Proficient in data entry and Microsoft Word and Excel.
- Strong organizational and timemanagement skills with attention to detail.
- Ability to work independently with direction from a TCM or supervisor.
- Effective verbal and written communication skills.
- Customerfocused, dependable, and collaborative team player.
- Ability to meet and maintain required performance standards.
