Exemption Status: Nonexempt/At- Will
Reports to: Director of Student Support Services and Special Programs

Pay Grade: D4
Dept./School: SOSA Parent Education Center

Calendar Days: 226

Primary Purpose:

Maintain accurate educational data records and documents as required by State & Federal Program Guidelines.Identify and recruit Migrant students on a yearly basis. Verify the residence of all Migratory families residing in the school district for the purpose of supplementing needed instruction.

Qualifications:

Education/Certification:

High school diploma or General Educational Development (GED) certificate

Must have a valid Texas Driver's License

Special Knowledge/Skills:

Fluent in Spanish (preferred)

Ability to use software to develop spreadsheets and databases, and do word processing

Proficient in keyboarding, 10-key numerical data entry, and file maintenance

Ability to meet established deadlines

Above average oral and written communication skills

Experience in operating basic office equipment

Experience in general accounting and bookkeeping

Experience with PEIMS Data & NOS System preferred

Basic understanding of educational policies of federal and state funding

Effective organizational, communication, and interpersonal skills

Ability to communicate effectively with parents of migrant students

Knowledge of various local social service agencies

Ability to work with diverse community populations

Experience:
Five years clerical experience

Major Responsibilities and Duties:

Student Recruitment

  1. Identifies and recruits migrant students on a yearly basis to verify the continued residence of all family migratory students.
  2. Identifies and recruits current migrant students.
  3. Verifies by home visits and filling out fact sheets, that students need clothes, or shoes for school.

Policy, Reports, and Law
  1. Verifies that each student has enrolled in the district and still resides in the area.
  2. Disseminates the migrant questionnaires to each campus and makes contact with parents by phone or home visit upon enrollment of students.
  3. Obtains eligibility information including the signature of the parent or guardian.
Student Management
  1. Computer inventory reports as requested by Director of Student Support Services and Special Programs for audit (computerized printout of all reports).
  2. Develop and maintain auditable eligibility files for State & Federal programs.
  3. Assists with various reports related to State & Federal Programs.
  4. Reviews prior year eligibility forms and develop a list of students who were identified as former Migratory during the previous year.
  5. Encode all identified Migrant Students into PEIMS.
  6. Run monthly Migrant PEIMS report and share with Director of Student Support Services and Special Programs.
  7. Input all data on Priority of Services that students receive.
  8. Keep records of completed fact sheets for student's clothes, shoes, and supplies.
  9. Maintain contact with teachers and registrars in obtaining educational data.
  10. Provide copies monthly to Principals of Migratory students enrolled on each campus to ensure services.
  11. Enter graduation and immunization data on all migrant students.
  12. Maintain data on Residency Verification as required by the Texas MEP Program on every identified migrant enrollee and non-enrollee.
  13. Assist in the consolidated migrant student records for transfer.
  14. Monitor attendance and grade reports of migrant students.
  15. Plan, organize, and participate in Parent Advisory Meetings
  16. Provides a copy of the signed eligibility form to the parent/guardian and Region 20
  17. Maintains contact with counselors and registrars in obtaining grades and copies of their PRC's.
  18. Establishes contact with appropriate community/county agencies or organizations to advise each of the availability of migrant services.
  19. Upon approval from Director, different sources or agencies are contacted for purchasing school clothes and shoes.
  20. Maintains contact with agencies to get school supplies for students.
  21. Provides parents with information on withdrawing and transferring students for seasonal employment.
  22. Bilingual skills essential in working with Migrant families.

  1. Follow district safety protocols and emergency procedures.
  2. Maintain Confidentiality.
  3. Participate in staff development, faculty meetings, and special events as needed.
  4. Perform other job-related duties as assigned by the Director of Student Support Services and Special Programs or designee.

Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting

Lifting: Occasional light lifting and carrying (less than 15 pounds)

Environment: May work prolonged or irregular hours

Mental Demands: Work with frequent interruptions; maintain emotional control under stress
